WHAT IS AN ONLINE BUSINESS MANAGER (OBM)?

In the simplest terms, OBMs are project managers. They come up with a strategy for how to get things done and then parcel out tasks to their team. OBMs are responsible for the daily operations of the whole business or for the entirety of a project – which includes the work of other team members. OBMs LEAD a team, often including VAs, web designers, writers, and social media experts. OBMs work with the biz owner to discuss strategy and priorities.

WHAT IS A VIRTUAL ASSISTANT (VA)?

In the simplest terms, a virtual assistant performs administrative and other support tasks for your business from a remote location. VAs work part-time, full-time, or on a temporary basis. A Virtual Assistant is a contractor who provides services that allow you to create extra time for yourself by taking care of tasks you can’t do, don’t do, and shouldn’t do. We can be called an outsourced office admin team, a business support team, or a virtual secretarial service.

Do you offer strategy?

Our Premium service plans all have business systems and operations audits as well as regular, ongoing Goal Planning and Strategy sessions. This is working with the Chief OBM and you OBM to work ‘on the business’ providing accountability and helping you take action in your business.

WHAT HOURS WILL AN OBM/VA WILL AVAILABLE?

Our team is available office hours Monday to Friday 9am to 5pm. We work to Australian Eastern Standard (AEST) and Daylight Time (AEDT). We are closed on all Australian and Victorian public holidays.

what happens if my team member becomes ill or goes on leave?

This is one of the main reasons we created this structure. Our OBMs or VAs cover each other and the Chief OBM steps in and covers OBMs when on leave.

HOW DO YOU KEEP MY INFORMATION SECURE?

Security and confidentiality are very important to us. As an Executive Assistant and Business Manager for over 25 years, I know the importance of this, and all team members are trained to know this is priority number one for our clients.

  • Nord VPN - our equipment and devices use a private VPN connecting us to a private network, creating an encrypted connection that masks our IP address to securely share data and use the internet.

  • Passwords - We use LastPass for passwords and codes.

  • File Access - all files are shared only via upload our project management tool and only our team working on your information will have access.

  • Confidentiality Agreements - We include this as part of our Service Agreement.

  • Employee Checks - We complete National Police Record checks on all of our team. If working onsite around children, Working With Child Checks are also required.

WHEN DO I PAY FOR MY HOURS?

Monthly Retainer Base and Premium Level plans are invoiced in advance of the 15th or 1st of each month and are due for payment the 15th or 1st of the month work is completed.

Projects may be invoiced in instalments with an agreed deposit amount up front with the balance paid at the end of the project.

VIP Days require an agreed deposit amount up front with the balance paid 7 days prior to support date.

WHAT HAPPENS IF I DON’T USE MY HOURS?

Our support delivery allows you to have a dedicated OBM and/or VA available to you within our office hours along with a preferred rate. Hours do not roll over to the next month. In our initial onboarding session with you, we agree on non-urgent projects that can be undertaken when monthly hours are available to be used. It will also be part of the monthly catch-up call with yourself, your OBM, your VA and myself as CEO. This is how we proactively use all monthly hours on the off chance you have a quiet month.

WHAT IF WE AREN’T THE RIGHT FIT?

We understand that there are reasons why it sometimes doesn’t work out. With minimal fuss, just email us and we can organise another OBM and/or VA to support you. Our business goals are we will focus on providing the best customer service to all our clients no matter how big or small. Service means delivering high-level and exacting work on time meeting client deadlines, regular, effective communication, and above all, listening to our clients, understanding them and responding to their administrative support needs.

If you would like to cancel our service agreement altogether after the minimum engagement term, we’d be sad to see you go. We will require at least 30 days’ notice and you will be invoiced for one more month after we’ve received your notice.

DO YOU HAVE INSURANCE?

Yes. We carry Public Liability, Product Liability, and Professional Indemnity insurance.
